Keep it to what a recipient actually needs: your name, job title, company, one phone number and one link, either your website or the most relevant social profile. A physical address is only worth including if people mail you things. Multiple phone numbers, a fax line, or five social icons make a signature look busier than it is useful.

Skip inspirational quotes, animated GIFs and large full-width banner images. They add load time, look inconsistent across email clients, and read as noise on a reply thread that is already ten messages deep.

Email signatures cannot embed a photo or logo directly from your computer the way a document can. The image has to live at a public URL that mail servers can fetch when the email is opened, such as a link to a file in your store's media library, a public image host, or your own website. If you pick a local file with no hosted URL, most email clients will either show a broken image icon or strip it out entirely, especially on the recipient's end.

If you don't have a hosted image ready, upload your logo to your store's media library or an image host first, copy the direct image URL, and paste that URL in here rather than the file itself.

Gmail: open Settings, then See all settings, scroll to Signature, create a new signature, and paste. Gmail preserves the HTML formatting directly in that box. Outlook desktop: File, Options, Mail, Signatures, create a new signature, switch to the editor, and paste. Outlook on the web: Settings, Mail, Compose and reply, paste into the signature box.

Apple Mail on Mac: Mail, Settings, Signatures, add a new signature, then paste. Apple Mail sometimes strips certain formatting on paste; if that happens, drag the copied signature into a Finder window as a temporary file, then drag it into the signature box instead of pasting directly.

Use a single column layout, or make sure any multi-column layout collapses gracefully, since a large share of email is read on a phone where wide side-by-side layouts get squeezed and misaligned. Keep font sizes at 13px or larger so text stays legible at phone width. Avoid tables wider than about 500px, and keep the photo or logo small, around 80px, so it does not push text off screen on a narrow inbox view.
